PAGB modernises its legacy Microsoft CRM, significantly reducing licensing costs with Microsoft Power Platform

PAGB

Pragmatiq partnered with PAGB (The Proprietary Association of Great Britain) to modernise its legacy Microsoft Dynamics CRM deployment. By transitioning from a partner-hosted environment to a cloud-based Microsoft Power Platform solution, PAGB significantly reduced licensing costs while creating a flexible, future-ready platform.

Background & Challenges

Background

PAGB is the UK consumer healthcare association, representing manufacturers, retailers, and suppliers of over-the-counter medicines and self care products. As part of its role, PAGB provides regulatory advice on product claims, helping members ensure marketing materials and advertising comply with industry guidance and legislation.

PAGB had been using Microsoft Dynamics CRM for many years to manage memberships and regulatory casework. However, the organisation was operating on a legacy partner-hosted deployment that had become increasingly costly to maintain. It also no longer aligned with PAGB’s evolving operational and licensing requirements. PAGB wanted to modernise its platform while retaining the familiar functionality and business processes users relied upon.

Challenges

  • Legacy deployment model: PAGB’s Microsoft Dynamics CRM environment was running on an outdated partner-hosted deployment that lacked the flexibility and scalability of a modern cloud-based platform.
  • High licensing and hosting costs: The existing deployment required full Microsoft Dynamics 365 licences alongside separate hosting costs, increasing the overall cost of ownership.
  • Limited flexibility for future development: The legacy architecture made it more difficult to evolve the platform and take advantage of newer Microsoft capabilities.
  • Outdated user experience: The system was operating on a legacy interface which no longer reflected the modern experience available through Microsoft’s cloud platform.

The Solution & Implementation

Pragmatiq modernised PAGB’s legacy Microsoft Dynamics CRM deployment by transitioning the organisation to a cloud-based Microsoft Power Platform solution. The project delivered a like-for-like implementation, allowing staff to continue managing memberships, organisations, contacts and regulatory casework through familiar processes while benefiting from a modern, cloud-based platform.

The transition to Microsoft Power Platform gave PAGB greater flexibility, an improved user experience and a scalable foundation for future development.

Key Features of the Solution

  • Membership and organisation management: A centralised Power Apps solution for managing member organisations, contacts, relationships and membership records.
  • Regulatory case management: Structured case management for reviewing product claims and regulatory enquiries, supporting a consistent and efficient regulatory process.
  • Cloud-based Microsoft platform: A like-for-like migration from a legacy Microsoft Dynamics CRM deployment to Microsoft Power Platform, preserving existing functionality while modernising the underlying architecture.
  • Optimised licensing model: A Power Apps licensing model that aligned platform capabilities with PAGB’s operational requirements, helping reduce licensing and hosting costs while maintaining required functionality.
