Aquora centralises stakeholder and sales management with Microsoft Dynamics 365

Acoura

Pragmatiq partnered with Aquora, formerly XLCC, to replace spreadsheet-led processes with a tailored Microsoft Dynamics 365 Sales solution. The new platform centralises stakeholder, sales and activity information, improves data governance and connects with Outlook and SharePoint to support collaboration and document management.

Background & Challenges

Background

Aquora is an energy infrastructure company specialising in subsea cable systems for low-carbon energy projects, including offshore wind.

Before the project, key stakeholder, operational and sales information was managed across Excel spreadsheets, SharePoint documents and a central email mailbox. Without a dedicated CRM system, teams lacked a central view of stakeholder relationships, project opportunities and activity.

Challenges

  • Fragmented information: Stakeholder and sales information was distributed across spreadsheets, SharePoint and email, limiting visibility and creating repeated data entry.
  • Limited governance and auditability: The organisation had limited oversight of data changes, access permissions and stakeholder activity.
  • Sensitive information: Investment opportunities, potential mergers and acquisitions, and government contracts required carefully controlled access.
  • User adoption requirements: The new CRM needed a simple, intuitive interface that could be used confidently by people with different levels of technical experience.

Solution & Implementation

Pragmatiq implemented a tailored Microsoft Dynamics 365 Sales solution focused on stakeholder management, project-based opportunities and activity tracking. A custom model-driven application provides a simplified user experience by surfacing frequently used functionality and removing unnecessary complexity.

The solution centralises accounts, contacts, leads and opportunities alongside relevant staff, competitor and industry information. Custom activities capture news, notes and required actions, while automated notifications, role-based security and Microsoft Entra integration help teams manage information more efficiently and securely.

Outlook and SharePoint integrations connect communications and documents with the relevant CRM records, creating a more complete view of stakeholder activity. Existing data was migrated into the platform, supported by training and user enablement sessions.

Key Features of the Solution

  • Centralised stakeholder management: Accounts, contacts, stakeholder activities and communications are held within a single CRM platform.
  • Project-based opportunity management: Leads and opportunities are managed through structured sales processes aligned with Aquora’s project-based requirements.
  • Simplified user experience: A tailored model-driven application presents the functionality users need regularly, creating a clearer and more intuitive interface.
  • Controlled access to sensitive information: Role-based security restricts investment and commercial information to the appropriate user groups.
  • Connected activity and document management: News, notes, required actions, emails and supporting documents are connected with the relevant stakeholder and opportunity records through Dynamics 365, Outlook and SharePoint.

Outcomes

  • A single source of truth: Stakeholder activity, sales information and communications are now held within one central platform, improving organisational visibility.
  • Reduced duplication and manual effort: Centralised records reduce the need to repeatedly enter and maintain information across documents, trackers and email.
  • Improved governance and security: Controlled access and change tracking provide greater oversight of sensitive information and data changes.
  • Improved collaboration and document management: Outlook and SharePoint integrations connect communications and documents with the relevant stakeholder and opportunity records.
