Minster School improves data quality and service coordination with Microsoft Dynamics 365
Minster School, a Maths Teaching School Hub, needed to replace a fragmented mix of off-the-shelf systems and spreadsheets with a single, accessible platform. Pragmatiq partnered with Minster School to implement Pragmatiq’s Teaching School Hub accelerator built on Microsoft Dynamics 365, giving the team a unified view of schools, trusts, people, and programme participation.
Background & Challenges
Background
Minster School supports schools and teachers across a network of organisations, delivering training programmes and maths-specific initiatives. The hub operates with a small core team alongside external contractors, all of whom need access to shared information.
Previously, Minster School relied on an off-the-shelf system combined with individual Excel spreadsheets. Data was spread across multiple tools, making it difficult to maintain accuracy, track engagement, or understand relationships between people and schools.
Challenges
- Fragmented data spread across spreadsheets and systems
- Duplicate records when teachers moved between schools
- Poor visibility of communication history and engagement
- Limited flexibility to adapt the system to maths-specific requirements
- Inconsistent access for external users supporting delivery
The Solution & Implementation
The solution
Pragmatiq implemented their Teaching School Hub accelerator using Microsoft Dynamics 365, providing Minster School with a single, central system to manage schools, trusts, people, courses, and participation.
The solution consolidated all data into one platform, improved accessibility through Microsoft Entra ID, and introduced a structured but flexible approach to managing relationships, communications, and programme delivery.
Key elements of the solution included:
- Centralised school and people records: Schools, trusts, and individuals are managed in one system, reducing duplication and ensuring accurate tracking when teachers move between schools.
- Course and cohort tracking: The system tracks which schools and individuals are participating in specific courses and cohorts, including progress and attendance throughout each programme.
- Communication timeline: Emails and interactions are logged against records, giving teams a clear history of engagement and improving visibility across internal and external users.
- Flexible, configurable data model: Custom fields and data structures support maths-specific activity and reporting needs without relying on spreadsheets or external tools.
The Outcomes
- Improved data quality: A single system of record has reduced duplication and improved confidence in school and participant data.
- Clearer visibility of engagement: Teams can see participation, attendance, and communication history in one place, supporting more effective coordination.
- Better collaboration with external users: Secure access via Entra ID enables contractors and partners to work within the same system as the core team.
- A scalable foundation: The Dynamics 365 platform provides flexibility to adapt processes, data capture, and reporting as Minster School’s programmes evolve.
